Ciklum is looking for a Procurement Specialist to join our team full-time in Ukraine.

About the role:

As a Procurement Specialist, will be to support global Ciklum’s procurement activity with a variety of tasks. The person in this role will be part of the Procurement team and will be working in close communication with our Legal, Finance and Compliance departments, vendors and suppliers.

Responsibilities

  • Seek and partner with reliable suppliers in all Ciklum countries
  • Carry our market reviews and bidding process, following Ciklum procurement policy and procedures
  • Finalise and present to the management results on the supplier selection process
  • Systemize, store, and maintain selection process related information in internal systems
  • Ensure selection and contracting processes transparency for both, contenders and Ciklum stakeholders
  • Contract selected suppliers, following Ciklum procurement policy and procedures
  • Control on all the necessary approval levels passing through in suppliers’ selection, contracting and procurement activity related orders payments processes
  • Assist in collection of approvals and feedback from internal departments
  • Arranging and facilitating negotiations on contract T&C with internal departments and Suppliers
  • Ensuring correct administration of approvals and signings in different IT systems (NAV, DocuSign etc)
  • Administration of Contract Management process’
  • Updating/checking of contract data currently in the NAV system of already contracted Suppliers information to ensure data accuracy and completeness
  • Ad hoc system reporting of Contracts
  • Assist with incoming queries from across the business
  • Maintain/update library of standardised agreement templates, FAQs, etc.

Requirements

  • Negotiation skills
  • Ability to multitask – constantly
  • Pressure resistance
  • Excellent command of the English language (other languages will be an advantage)
  • Confident communicator
  • Great attention to details
  • Good proofreading skills
  • Understanding of standard contractual terms (including finance, accounting, delivery etc) and conditions to mitigate legal risk
  • Good MS Office knowledge and skills. Confident Excel user is a must
  • Flexible, enthusiastic, and passionate person
  • Customer oriented
  • High level of confidentiality and discretion
  • Proactive and go-getter personality with the ability to take initiative
  • Organised and methodical approach to work
  • Able to take direction and work towards deadlines
  • Desire to learn and develop
